The GoHighLevel Setup Checklist

27 settings to configure before you go live. Work through them in order — each one is something we check on every setup we deliver, and each one is much easier to set now than to fix after leads start arriving.

How to use this checklist

Most GoHighLevel accounts are not broken — they are unfinished. Settings get skipped during sign-up, a pipeline gets copied from a snapshot that does not match the business, and the first real lead arrives before anyone has tested the follow-up. Print this page or save it, tick each item off honestly, and note anything you cannot confirm. An item you cannot confirm is a “no” — that is exactly what this checklist is for.

A — Account foundations

  • ☐ 1. Business profile completed: legal name, address, timezone and logo are set, because every email, invoice and calendar invitation pulls from them.
  • ☐ 2. Every team member has their own user login with the right role and permissions — and anyone who has left the business has been removed.
  • ☐ 3. Custom values are filled in (business name, phone, email, address, booking links) so templates and workflows never send a blank or a placeholder.
  • ☐ 4. Custom fields exist for the information you actually collect on a lead — service needed, source, property or vehicle details, whatever your sales conversation depends on.
  • ☐ 5. Lead source tracking is decided: every form and funnel records where the lead came from, so you can see which marketing is working.

B — Phone and email deliverability

  • ☐ 6. An LC-Phone number is provisioned and assigned to the right users, and outbound calls and texts send from it.
  • ☐ 7. SMS registration is completed where required (such as A2P 10DLC brand and campaign registration), so your texts are not filtered as spam.
  • ☐ 8. A dedicated sending domain is connected for email rather than sending bulk mail from your main domain.
  • ☐ 9. SPF, DKIM and DMARC records are published and verified, and a test campaign lands in the inbox — not the spam folder.
  • ☐ 10. Missed-call text-back is switched on for your main number, so a caller you miss still gets an instant reply.

C — Pipelines and CRM

  • ☐ 11. You have one pipeline per revenue stream, with stages written in plain language your team uses — not the default stages from a snapshot.
  • ☐ 12. Every stage has a clear next action and an owner, so no lead sits in a stage with nobody responsible for it.
  • ☐ 13. Smart lists are built for the views you check daily: new leads, hot leads, stale leads and existing customers.
  • ☐ 14. Lost reasons are recorded when an opportunity closes, so you learn why deals are lost instead of guessing.
  • ☐ 15. There is a simple routine for duplicates and bad data, and one person owns it.

D — Calendars and booking

  • ☐ 16. Each calendar has correct working hours, appointment buffers and a minimum scheduling notice that matches how your team really works.
  • ☐ 17. Calendars are synced with Google or Outlook calendars, with conflict checking on, so you are never double-booked.
  • ☐ 18. Confirmation messages and reminders are attached to every calendar — booking alone is not follow-up.
  • ☐ 19. You have completed a full test booking yourself, on your phone, and received every message a customer would receive.

E — The first five day-one automations

  • ☐ 20. Instant lead reply: every new lead gets an SMS and an email within minutes, day or night, starting a conversation instead of a cold call hours later.
  • ☐ 21. Unbooked-lead nurture: leads that enquire but do not book enter a follow-up sequence that runs for days, not a single message.
  • ☐ 22. Appointment reminders and a no-show follow-up are live, so a missed appointment restarts the conversation instead of ending it.
  • ☐ 23. A review request goes out automatically after a job is completed, while the experience is fresh.
  • ☐ 24. A reactivation campaign is ready for old and unresponsive leads — the cheapest new business most accounts are sitting on.

F — Funnels, tracking and the final test

  • ☐ 25. Every form and funnel page is connected to a pipeline and triggers a follow-up workflow — and you have tested each form individually, because “connected” is often assumed and rarely checked.
  • ☐ 26. Tracking is connected where you use it (for example Google Analytics or the Meta pixel), so enquiries can be traced back to the campaign that produced them.
  • ☐ 27. The full test run passes: submit a test lead, receive the instant reply, book a test appointment, receive the reminders, complete the job and receive the review request. If any step fails silently, the account is not live yet — it is nearly live, which is worse.

What to do with your score

If you ticked all 27, your foundations are solid and your next gains will come from optimisation. If three or more items are unticked — especially in sections B and E — leads are very probably leaking right now. That is exactly what our setup and audit work fixes.
