How scoring works
Answer each question honestly: Yes = 2 points, Partly = 1 point, No = 0 points. Add up your total out of 30 and read your band at the bottom. Answer for how the account works today — not how it was meant to work when it was set up.
CRM and pipelines (questions 1–3)
- Every lead from every source lands in the CRM automatically — none are copied in by hand or left in an inbox.
- Your pipeline stages match how your team actually sells, and every opportunity sits in the correct stage right now.
- You could open the CRM today and see, for any lead, exactly what happened, when, and who owns the next step.
Follow-up speed (questions 4–6)
- A new lead receives an SMS and email within five minutes, including evenings and weekends.
- Missed calls automatically receive a text-back.
- Leads that do not book enter a multi-day follow-up sequence, and the sequence stops when they reply.
Automation health (questions 7–9)
- Every live workflow has been tested end to end in the last three months — triggers, messages and stop conditions.
- Appointment reminders, no-show follow-ups and review requests all run automatically, without anyone pressing send.
- When a workflow breaks, you find out from a report or an alert — not from a customer telling you.
Deliverability (questions 10–12)
- Your marketing emails send from a dedicated, authenticated domain (SPF, DKIM and DMARC in place) and land in inboxes.
- Your SMS number is properly registered where required, and your texts are not being filtered.
- Unsubscribes and opt-outs are handled automatically and respected everywhere, including manual sends.
Reporting and team adoption (questions 13–15)
- You can see, this month, where leads came from, how many booked, and where they drop off.
- Your team actually works from the CRM daily — conversations, tasks and notes live there, not in personal phones.
- One named person owns the system: updates, fixes and small improvements happen on a schedule, not only when something visibly breaks.
Your score
24–30: Healthy system. Your gains now come from optimisation — faster sequences, better reporting, new channels. Keep testing quarterly, because healthy automations decay silently.
15–23: Working, with leaks. The structure exists but specific areas — usually follow-up speed or workflow testing — are costing you enquiries. Fix the lowest-scoring section first.
0–14: Underbuilt account. You are paying for a platform that is mostly acting as an address book. The good news: the fixes are known, ordered and mostly one-time. Start with the setup checklist, then rebuild the follow-up.
Small print: This self-check is a guide, not a full audit — a full audit inspects your actual workflows, messages and data. To request one, email info@ghlautomationagency.com or book a call.
